How Carpool Circles Work

If you’ve ever spent 20 minutes in a group chat trying to figure out who’s driving tomorrow, you already know the problem. Carpool circles fix that — not with algorithms or automation, but with a simple system built around trust between families.

Here’s how it all works.


What is a Circle?

A circle is a small group of families who trust each other enough to share rides to the same place. That’s the foundation — trust between families.

Every circle has three things in common:

A school, soccer practice, tutoring — wherever kids need to go regularly.

Same Time

Everyone agrees on the departure time. If 8 AM doesn't work, this isn't your circle.

If you need rides to two different places, you join two different circles. Each circle serves one destination.


Joining a Circle

There are two ways to get into a circle: create one or join an existing one.

Creating a Circle

Any parent can create a circle. You set the pickup area (your neighborhood), the destination (school, practice, tutoring), the days of the week, and the times. That’s it — your circle is live and other nearby families can find it.

Finding and Joining

Browse circles near you or search by destination. When you find one that matches your schedule, send a join request. Here’s where trust comes in:

Pick which of your kids will ride in this circle.

Members vote

The group decides together. If most say yes, you're in.

You're in (or not)

If approved, you can start volunteering for drives right away. If not, no hard feelings.

Car capacity matters. The app makes sure every car in the circle can fit all the kids. If the group is already full, you’ll need to find a different circle.

This keeps circles safe and manageable. No one ends up with more kids than seats.


Pickup and Return

Every circle can have two types of rides:

Pickup — driving kids from their homes to the destination. Home to school.

Return — driving kids from the destination back home. School to home.

These are independent. One parent might drive pickup on Monday while a completely different parent drives return. Or the same parent does both. It’s flexible — you volunteer for what works for you.


Who Drives?

Members volunteer for the days they can drive. There’s no app-assigned rotation. No algorithm deciding who drives when. You open the app, look at the week, and claim the days that work for you.

”I’ll drive pickup on Monday and Wednesday."

"I can do return on Thursday."

"I’m free all week — I’ll take Monday through Friday.”

It’s self-organized. The app just makes it visible to everyone.

What if no one drives?

If nobody volunteers for a day, there’s no ride that day. The app doesn’t force anyone. Members can use the circle’s group chat to coordinate — “Hey, can anyone do Tuesday?” — but the app doesn’t intervene. It’s your circle, your call.

What if two people want the same day?

If you try to claim a day that someone else already has, the app tells you. You can either pick a different day or take it over if the other driver isn’t available.

If you take it over, the original driver gets notified. This handles the case where someone set their schedule weeks ago and is now unresponsive — another member can step in without waiting for permission.


Changing Your Schedule

Life happens. Kids get sick. Cars break down. Meetings run late. Any driver can change their schedule at any time — no restrictions.

When you make any change, every other member in the circle gets a notification:

New drive — "John is driving to Kepler Stem School on Monday at 8:00 AM"

Time change — "John changed the Monday drive to Kepler Stem School to 8:30 AM"

Cancelled — "John cancelled the Monday drive to Kepler Stem School"

The notification does the work. Parents see it, adjust their plans, and move on. No approval needed, no waiting period.


Day of the Ride

Before the Ride

The driver and all parents see a ride card on their home screen with the departure time, driver’s name, and kids being picked up.

Both the driver and parents get reminders at three intervals:

The evening before

"Reminder: You're driving to Kepler Stem School tomorrow at 8:00 AM"

1 hour before

"Reminder: Your ride starts in 1 hour"

15 minutes before

"Get ready! Your ride starts in 15 minutes"

Parents get the same reminders so they can have their kids ready at the door.

During the Ride

The driver taps “Start Drive” and parents can follow along in real-time. As the driver gets close to each kid’s house, the parent gets a heads-up. When the kid is picked up, they’re checked off the list.

After the Ride

Once all kids are dropped off, the driver completes the trip. The ride card disappears from the home screen. If there’s a return ride later, that card shows up when it’s time. If there’s nothing left today, the home screen shows “All Set for Today.”

Completed trips are stored in Trip History — the home screen only shows what’s coming up next.


What If the Driver Doesn’t Show Up?

If the scheduled time arrives and the driver hasn’t started, here’s what happens:

Scheduled time passes

Parents get notified immediately: "Your ride hasn't started yet." The driver can still start — they're just running late.

Within 30 minutes

Grace period. The driver can still tap "Start Drive." The card shows them as late.

After 30 minutes

The ride is automatically cancelled. Parents are notified: "Your ride has been cancelled." The driver or another member can reschedule if needed.

No ride sits in limbo forever. After 30 minutes, it’s done, and the slot opens up for someone else.


When a Member Leaves

Sometimes families move, schedules change, or a circle just isn’t the right fit anymore. Any member can leave a circle at any time — no approval needed.

When someone leaves, the app handles the cleanup automatically:

Future drives cancelled

Every drive they had volunteered for gets cancelled. Nothing is left hanging on the schedule.

Everyone gets notified

You'll see something like: "Sarah has left the circle. Her scheduled rides have been cancelled. Tap to see the updated schedule."

Schedule opens up

Those days are now open. Any other member can volunteer to fill them.

Can’t leave mid-ride. If you’re currently driving, you’ll need to complete or cancel the trip before leaving the circle.

Nobody wonders “wait, is Mike still driving Thursday?” — the app tells you exactly what changed and what’s open.


The Home Screen

The home screen is simple. It shows you what’s next — nothing more.

Upcoming ride? You see the ride card with driver name, time, and kids.

Multiple circles? Cards scroll horizontally — one per circle.

Nothing coming up? “All Set for Today.” Clean and simple.

Completed rides don’t clutter the home screen. They live in Trip History, where you can review past rides anytime.


What a Circle is NOT

Not Uber. There's no on-demand ride hailing. Rides are scheduled by families who know each other.

Not rigid. The schedule is a plan, not a contract. Things change, and the app handles it gracefully.

Not a marketplace. You don't browse strangers. You're in a circle with people you trust.

Not automated. The app doesn't assign drivers or force rotations. Families organize themselves.


Frequently Asked Questions

Can I be in multiple circles?

Yes. If your kids go to school and soccer practice, you’d join one circle for each. Each circle has its own members, destination, and schedule. Your home screen shows cards for all of them.

Can different people drive pickup and return?

Absolutely. Pickup and return are independent. Parent A can drive kids to school at 8 AM and Parent B can bring them home at 3 PM. You volunteer for what works for you.

What if I need to cancel last minute?

Cancel anytime. There are no penalties or restrictions. Everyone in the circle gets a notification so they can make other arrangements. Life happens — the app adapts.

How do I join a circle?

You can browse nearby circles or get invited. When you request to join, existing members vote. It’s a trust-based system — the group decides who joins.

What if no one is driving on a day I need a ride?

The app won’t magically find a driver for you. But you can message in the circle’s group chat to ask if anyone’s available. You can also drive yourself and volunteer for that day.

Can the driver change the departure time?

Yes, at any time. When they do, every member gets a notification with the new time. If the new time doesn’t work for you, you’ll need to arrange your own ride that day.

What happens if two parents want to drive on the same day?

The app shows a conflict and lets the second driver take over if needed. The first driver gets notified. This is useful when someone’s schedule changes or they’re unresponsive — another member can step in.

Is my child's location tracked?

No — only the driver’s location is shared, and only while they’re actively driving. Parents can see where the driver is so they know when to have their kids ready. Once the ride is done, sharing stops.

What if the driver ends a ride by mistake?

No problem. Ending a ride doesn’t lock anything. The driver can start again if needed. Finished rides are just saved to history.

Can I see past rides?

Yes. Trip History shows all completed and cancelled rides, grouped by date. You can see who drove, how many kids were picked up, and when it happened.

What if I want a ride to a different destination?

Create or join a different circle. Each circle is tied to one destination. If the same group of families also needs rides to soccer practice, they’d create a second circle for that.

Do I get reminders before my drive?

Yes — three reminders: the evening before, 1 hour before, and 15 minutes before. Both drivers and parents receive reminders so everyone’s prepared.

What about car capacity?

The app makes sure every car in the circle can fit all the kids. You set your car size when you join, and if the group would be too big for anyone’s car, the app lets you know.

What happens if a driver forgets to end a trip?

The app notices and sends a gentle nudge: “Still driving?” If there’s no response, the ride is wrapped up automatically so nothing gets stuck.

How does the weekly schedule work?

You set your availability once and it repeats weekly. If there’s a holiday or you can’t make it one week, just skip that day — everyone gets notified. No need to redo your whole schedule.
